CCA Meeting Policies

The following meeting policies apply broadly to CCA meetings and conferences. Should you have any questions about applicability to a specific meeting please email customer service.

Member Registration Rates

You must be a CCA member with your current year dues paid at the time of the event to receive member pricing. If dues are not paid prior to the event, you will be invoiced for the difference between the member and non-member price.  Cancellations will be processed in accordance with the attendee refund policy.

Attendee Refund Policy

Meeting attendee and guest refunds are based on the date the request is e-mailed to the CCA office according to the schedule below:

31 days or more from the first day of the meeting:

  • Attendee: amount paid less $125 
  • Guest: 50% of amount paid

30-15 days from the first day of the meeting:

  • Attendee: 50% of amount paid
  • Guest: No Refund      

14 days or less from the first day of the meeting:

  • Attendee: No Refund
  • Guest: No Refund

Substitutions

If you are registered and unable to attend the meeting, substitutions may be made, which would allow another individual to attend in your place. To make a substitution, requests must be submitted by the individual or company that originally paid and sent to the CCA office prior to the first day of the meeting.

Event Code of Conduct

The Conference of Consulting Actuaries (“CCA”) is committed to providing a safe and productive environment that fosters open dialogue and the free expression of ideas, without fear of harassment, discrimination, or hostile conduct.

The purpose of this Code of Conduct is to establish minimum expectations of behavior at all CCA-related activities. This Policy applies to all individuals on premises at CCA conferences, meetings and events, and is intended to supplement any other applicable CCA Policies.

Expected conduct at CCA-related activities is as follows:

  1. Participants are expected to conduct themselves in a professional manner, to communicate with respect and consideration for others, and to refrain from conduct that may be perceived to be harmful to other participants, themselves, CCA staff, and/or any third parties. Examples of such conduct include harassment, intimidation, making inappropriate comments / unwanted advances, stalking, or sustained disruption. 
  2. CCA policy prohibits any photography or recording without express permission.
  3. Member companies sponsoring CCA-related activities are expected to adhere to the highest standards of professionalism and all CCA-related activities should be designed to create a safe, hospitable, and inclusive environment for all attendees.
  4. No disruptive, discriminatory, or harassing behavior of any kind will be tolerated, including behavior related to gender, gender identity and expression, sexual orientation, disability, physical appearance, race, or religion.
Reporting Violations

If you believe you have experienced or observed a violation of this Policy, please contact CCA staff who can work with CCA leadership to resolve the situation and will assist those experiencing inappropriate conduct to enable them to feel safe for the duration of any event. If you or someone else is in immediate danger, please contact hotel security or local law enforcement.

Violations of this Policy are taken seriously and should be promptly reported to any CCA staff present at the CCA-related activity or Executive Director, Kelly Fanella, 847-909-4526

Sanctions

Individuals engaging in behavior prohibited by this policy will be subject to sanctions that range from a verbal warning to ejection from the CCA-related event without refund of fees. The CCA reserves the right to prohibit attendance of such individuals at future CCA-related events. 

Cancellation Policy

As warranted by unforeseen events, CCA reserves the right to enforce venue capacity restrictions for in-person meetings, or to cancel a virtual or in-person meeting or conference. In the unlikely occurrence of such an occurrence, registration fees charged by the CCA will be refunded. However, the CCA will not be held liable for any airline, hotel or other penalties that may be assessed to attendees as a result of an in-person or virtual meeting cancellation. 

Photography and Videography Policy

In consideration for your opportunity to attend a CCA-hosted meeting, any ancillary seminars, luncheons or receptions, your registration constitutes your consent to CCA’s use of your image and likeness, or voice for educational and/or promotional purposes. By registering to attend; you release CCA, its employees, agents, successors and assigns, from any and all claims that may arise out of participation in a photo or video shoot and the use of your photograph, video and or likeness.

Meeting Recording Policy

No meeting, whether in person, virtual or via telephone can be transcribed or recorded in audio, video or written format, whether by cell phone, computer or other means. Violators will be asked to leave the meeting and may be barred from attending future CCA events.

Antitrust Policy

Applicability of Antitrust Laws

Professional societies, including the CCA, are subject to federal and state antitrust laws, and must constantly monitor their activities to ensure continued compliance with all antitrust regulations.

Purpose of Antitrust Laws

The antitrust laws prohibit any concerted activity or combination of competitors from interfering with free competition. In other words, the primary thrust of the law is to control private economic power by protecting competition. Persons and organizations are prohibited from engaging in any action which unreasonably restrains commerce or trade (i.e., competition). Per se violations (practices presumed to be inherently wrong regardless of the motivating factors) include: agreements to fix or stabilize prices, to divide markets, to allocate production, or to impose boycotts. In essence, this means any concerted action that significantly diminishes rivalry among competing firms.

The CCA’s Policy

The Board of Directors of the Conference of Consulting Actuaries intends adherence to the antitrust laws. The CCA provides guidance on compliance by regularly communicating to our membership, attendees at our continuing education offerings, and committee/task force meetings regarding both the applicability and purpose of antitrust laws.
